Processing of (personal) data by the entity in charge of the online application process

The protection of your personal data during processing throughout the entire application process is an important concern for us.
We are the responsible body in terms of data protection law. German data protection law applies.
Please read the following information carefully. By ticking the box next to the consent to the privacy policy in your application form, you agree to the collection, processing and use of your personal data by our company as described here.

Personal data and purpose limitation
The subject of data protection is personal data (Art. 4 No. 1 GDPR). This is individual information about personal or factual circumstances, such as name, address, e-mail address or telephone number, which you provide to us as part of the application process:
- Personal master data (e.g. applicant name, address, date of birth)
- Communication data (e.g. telephone, e-mail)
- Data from the applicant's CV (e.g. professional career, sideline activities, leisure activities)
- Results of selection procedures (e.g. tests, interviews)
- Process data (e.g. status, appointments)

Your personal data will only be stored and used electronically for the purpose of processing your application.

Legal basis
The processing of your personal data is lawful pursuant to Art. 6 para. 1 lit. a. GDPR, as you have given your consent to the processing of your personal data for one or more specific purposes before completing the application.

Consent to processing and use
You agree that during the application process, employees of the HR department, the respective specialist department and the responsible body (works council, if applicable, representative body for severely disabled employees) will have access to your personal data. Your data will only be used by a restricted group of users. Your personal data will not be passed on to third parties in any form by us or by persons authorised by us, unless we are obliged to pass it on due to mandatory legal regulations (e.g. to state institutions).

Contract data processing
On the basis of a separate agreement on the processing of personal data, your personal data will be collected, processed and used by Zoho Recruit on our behalf as part of order data processing in accordance with Art. 28 GDPR in accordance with the relevant legal requirements. However, this does not involve any transfer of your personal data to third parties in terms of data protection law.
We remain responsible to you under data protection law.

Storage and deletion of data
The general statutory retention and deletion periods apply. We will delete your data in accordance with the relevant statutory provisions after completion of the respective recruitment process.
Access and use of your personal data by our company is then no longer possible.

Data transfer to third countries
Data is not transferred to third countries.

Right of access and rectification, right of cancellation
You have the right to update the personal data you have provided to us at any time by notifying the recipient or requesting its deletion. You can decide for yourself what information you provide to us. Fields marked with an * are mandatory fields that we require for the application process. Fields not marked with an * can be filled in voluntarily. You are responsible for all content of your online application, such as photos, and must ensure compliance with legal requirements, such as trademark, copyright, personality or other third-party rights.
You have the right to data portability and the right to lodge a complaint with a data protection supervisory authority.
You are entitled to withdraw your consent to the use of personal data at any time.

Obligation to provide data
If you do not provide us with the mandatory information described in the previous section, it is unfortunately not possible for you to apply to us electronically via this careers page.

Talent Pool
If you cannot be offered a suitable position at the time of your application, the data you provide/transmit during the entire application process may be collected, processed and used in the talent pool even after completion. This is done to establish contact for professional purposes and for possible consideration for a later job offer. You agree to this use separately.

Data security
Data protection and data security are our top priority. We therefore use various technical and organisational security measures to protect your data from accidental or intentional manipulation, loss, destruction or access by unauthorised third parties.
When personal data is collected and processed in the aforementioned context, this information is transmitted in encrypted form to ensure that your data is always sufficiently secure. We are constantly adapting the measures to technical developments in order to be able to guarantee the greatest possible security in the future.

Processing of (personal) data by the operator of the recruitment website

General information

This recruitment website is operated by Personio SE & Co. KG, which offers a human resource and candidate management software solution (https://www.personio.com/legal-notice/). Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. The sole controller of this data within the meaning of article 24 of the GDPR is the enterprise carrying out this online application process. Personio’s role is limited to operating the software and this recruitment website and, in this context, being a processor under article 28 of the GDPR. In this case, the processing by Personio is based on an agreement for the processing of orders between the controller and Personio. In addition, Personio SE & Co. KG processes further data, some of which may be personal data, to provide its services, in particular for operating this recruitment website. We will refer to this in more detail below.

Access logs (“server logs”)

Each access to this recruitment website automatically causes general protocol data, so-called server logs, to be collected. As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. Without this data, it would, in some cases, be technically impossible to deliver or display the contents of the software. In addition, processing this data is absolutely necessary under security aspects, in particular for access, input, transfer, and storage control. Furthermore, this anonymous information can be used for statistical purposes and for optimizing services and technology. In addition, the log files can be checked and analyzed retrospectively when unlawful use of the software is suspected. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. Generally, data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp of the access to the software is collected. The scope of this log process does not exceed the common log scope of any other site on the web. These access logs are stored for a period of up to 7 days. There is no right to object to this.

Error logs

So-called error logs are generated for the purpose of identifying and fixing bugs. This is absolutely necessary to ensure we can react as quickly as possible to possible problems with displaying and implementing content (legitimate interest). As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. When an error message occurs, general data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp upon occurrence of the respective error message and/or specification is collected. These error logs are stored for a period of up to 7 days. There is no right to object to this.

Use of cookies

So-called cookies are used on parts of this recruitment website. They are small text files which are stored on the device with which you access this recruitment website. As a general rule, cookies serve the purpose of ensuring secure access to a website (“absolutely necessary”), implementing certain functionalities such as standard-language settings (“functional”), improving the user experience or the performance of the website (“performance”), or placing targeted advertisements (“marketing”).
